Managing Product Samples and Compliance Reporting (SK)

Learn how to properly manage cannabis product samples by using a virtual dashboard location.

Retailers are required to track and report on all cannabis product samples that are provided by LP's and brands.

Cannabis product samples pose a unique challenge for retailers. Samples must be tracked for compliance reporting purposes but should not appear as saleable items at the POS or on in-store and ecommerce menus.

A virtual dashboard location allows retailers to separate their cannabis product samples from regular saleable inventory, while tracking all inventory movements and maintaining compliance requirements. 

Cannabis product samples should not appear as saleable items at the POS or on in-store and ecommerce menus.

A virtual dashboard location acts exactly like a regular dashboard location, however, it does not represent a physical store location. Instead, it represents a separate subset of your cannabis product inventory. In this case it represents the cannabis product samples provided to you by LP's and brands. 

A virtual dashboard location is way to seperate your cannabis product samples from your regular saleable cannabis inventory. 

Each real-life store location that receives cannabis product samples should also have a corresponding virtual dashboard location to receive and manage its cannabis product samples. 

How to create a virtual dashboard location:

  1. Navigate to your dashboard Settings 
  2. Click on Locations 
  3. Click the Add a location button 
  4. Add a location name. This name should reflect the real-life store that you're receiving cannabis samples for. Ex. Cannabis Store (Actual store name) and Cannabis Store Samples (virtual dashboard location)
  5. Enter the same License ID that is used for the corresponding real-life store 
  6. Ensure that the Timezone is the same as the corresponding real-life store 
  7. Click Save

Once your new virtual dashboard location has been created you can now allow, or block, your employees access to this virtual location by adjusting the locations that are selected in each of their employee profiles.

  1. Navigate to your dashboard Employees section
  2. Click on Employee list
  3. Click the name of the employee
  4. Click the Add location button 
  5. Select the new virtual location 
  6. Click the Save employee button

You can allow or restrict your employees from accessing your virtual location by adjusting their employee profile settings. 

Now that your new virtual location has been created you can use it just like you would your regular dashboard location, keeping in mind that this new location is specifically for cannabis product samples. 

  • Add and create new sample products in your dashboard Product list 
  • Create and complete Purchase orders for your sample products
    !!! Remember to set the location of the purchase order to be your virtual location !!!
  • Manage sample inventory from the Inventory > Overview section of your dashboard 
  • Give samples to your employees by creating sales at your POS from your virtual location

When generating your compliance reports make sure to select your real-life store location and the corresponding virtual location. 

When generating your compliance reports you must select both the real-life store location and the corresponding virtual location. 

When both locations are selected Greenline will combine all of the data from the real-life store and the virtual locations into one report.

  • Virtual locations work just like regular dashboard location expect they are not connected to online, in-store or e-commerce menus. 
  • Sample inventory is not visible on your real-life store POS devices and cannot be sold to customers. 
  • Sample products can be sold to employees by logging into the POS device assigned to your virtual location. Log back into your real-life store POS device to continue selling to your customers.
